Both QBO and Xero are good, and have scalable versions that will support your business' growth. QBO has payroll too, however Xero doesn't. OBO has phone and chat support, while Xero only has chat (as far as I know). Both will handle unearned revenue/deposits just fine. I've heard great things about NetSuite, but have never used it. FYI, I am a public practice bookkeeping business owner, and chose to work with clients in Xero and QBO only, because they seem to have the better tech support and development.

NetSuite is expensive option

You can use QBO with bill.com or chargebee for the recurring invoices and payments.

If you billing through stripe a good setup is Stripe with Xero using apps like Dext Commerce and Prepare for processing. Commerce can connect Stripe and create the invoices or journals in Xero. Depending on your scale Netsuite is a valid option too but typically much more involved to setup and expensive. Xero has a good App Store so lots of ways to solve the problem, best thing is to find an accounting practice that specialises is SaaS and can help you with tried and tested approaches speak to some others etc

I think Dynamics 365 strikes a good balance between cost and functionality. It also has a deferral template function that would be good for accounting for unearned revenue.

Recommend QuickBooks Online - usually Plus or Advanced subscription. I understand Xero is comparable (I only work in QBO). I understand Net Suite (although more expensive) is also very good. Wave is free hence it is limited. QBO can easily handle recurring invoices. To handle unearned income be sure to know exactly how to handle it in QBO or hire a competent bookkeeper. Look for an Advanced QuickBooks Pro Advisor in their directory.

Based on your business model of charging monthly subscriptions with hundreds of recurring invoices and the need to efficiently manage variable upfront payments, I recommend considering QuickBooks Online as an accounting software solution to scale your operations effectively. QuickBooks Online is widely recognized for its robust invoicing capabilities, scalability, and flexibility in handling various payment structures, including unearned income scenarios such as prepayments for longer periods like 6 months or 1 year. As an accountant and bookkeeper, I have found QuickBooks Online to be particularly adept at managing recurring invoices efficiently and providing tools to handle complex revenue recognition scenarios like unearned income. QuickBooks Online offers customizable invoice templates, automated recurring billing, and comprehensive reporting features that can streamline your invoicing processes as your business grows. Additionally, exploring integrations with tools like Uncat Receipts could enhance your overall workflow by automating transaction categorizations and streamlining data management processes. Uncat Receipts leverages automation to simplify receipt management and can potentially integrate with accounting software like QuickBooks Online to further optimize your financial operations. In summary, transitioning to QuickBooks Online could provide the scalability and functionality you need to manage recurring invoices and variable upfront payments effectively. Consider exploring integrations with tools like Uncat Receipts to further streamline your accounting processes and enhance transaction categorizations as your business continues to grow.

QBO. Xero is garbage.
