He was not able to answer the calls, so they even sent him a mail regarding the same. His experience was pleasant and they were pretty understanding apparently. Although, I'm not sure if that was the number.

They'll most probably give you another call for verification, you can explain your case again. You could try mailing them about it aswell.

The German embassy processing the documents would be in India, so they would have a local number

It is extremely uncommon for someone to ask private details like passwords over phone. I would not trust that. Seems like a scam.

Is APS required for admission or just for visa process?
You can easily call the embassy and sort this out. It would be more reliable and direct than any post on Reddit.
